Griffis/Blessing Inc. is looking for a Training and Operation Specialist headquartered in our Denver Corporate Office supporting the Denver/Metro Area, Western Slope, outlying Colorado areas and Kansas City area.

This position will be responsible for the onboarding and the training of each new employee/and additional training needed for existing employees along with a multitude of other tasks and projects.

Essential Functions:

Offer suggestions to inject innovative ideas to improve systems and efficiency. Work with Regional Managers to understand team challenges, skill gaps, and training needs. Support site staff for success through educational training using tools such as classroom presentation, outside vendors, training videos, one on one training, and other resources. Must be flexible, organized, and detailed orientated. Provide timely, articulate, and accurate tracking/reporting as requested. Other department duties as requested are to support Multifamily Property Services group.

Summary of Job Responsibilities:

To train individual or group of employees in Customer Service, Sales, Marketing, Entrata Software, Property Legal Legislation, Secret Shops, Leasing Principles, Assistant Manager Principles, Property Manager Principles, Leasing Contests, and Budget Boot Camps. To identify areas of training needed to ensure consistency and success in all areas of apartment property management. Train and champion Griffis/Blessing’s philosophy, processes, and guidelines. Implement training programs and strategies to help meet performance objectives for all positions. Contract with, and help schedule seminars to meet local, state, and national guidelines/laws. Train new employees in Entrata Software, Apartment IQ, Homebody products, and AI software. Review, evaluate and recommend the assigned courses for LMS, and Apartment Association courses, etc. This position requires public speaking skills and a high degree of confidentiality. Monitor property occupancy and availability and make suggestions to Property Manager, Regional Manager, Vice President, or Senior Vice President in order to help the onsite team incorporate marketing ideas and programs. Order and monitor secret shops. Review the actual shop, and work with Regional Managers and Property Managers to ensure that employees receive additional training if employees do not meet standards. Assign Mentor to each new office employee and monitor that the Mentor provides appropriate additional training and support.

Job Duties include:

  • Read, understand, and incorporate the various operational manuals in training.
  • Regularly collaborate with Regional Managers and Vice Presidents to support the needs of the company through training.
  • Make suggested changes as needed to improve processes.
  • Read, understand, and incorporate the Entrata operational guidelines with Operations training.
  • Design additional training materials as needed or requested by the Vice President.
  • Schedule and conduct monthly/quarterly training meetings or annual meetings, as requested or needed.
  • Schedule all shops for on-site Leasing, Assistant Managers (and Property Managers, where needed).
  • Use in-service, vendor-supported, and outside training seminars to further the skills of on-site staff members.
  • Utilize Focus groups to develop programs, improve operational efficiency, etc.
  • Review and update Progression Programs for promotions of staff; adjust as needed.
  • Property Management-utilizing the Property Leasing, Assistant Manager, and Property Manager training binders.
  • Policy and Procedure training.
  • Notify employees of upcoming classes for CAM, CAMT, CALP and CPM designations.
  • Notify and set up training for employees upcoming at AAMD, AASC or the Kansas Apartment Association.
  • Occasionally cover a property when they are short-staffed.
  • Help set up mini models, as needed. Distribute ideas for creative mini-models and “wow” refrigerators
  • Perform any duties assigned by the Regional Managers, Vice Presidents, or Senior Vice Presidents who may or may not be included in this job description.
  • Sit on the Committee of Fun and assist with company functions/events.
  • Pull weekly training software reports showing past due training classes as needed.
  • Monitor compliance with Cyber Security Training.
  • Track and assign all new hires for Leasing, Operations and Entrata training. Send out reminders and follow ups to Regional Managers on employees who failed to attend training.
  • Assist with property Due Diligences, new Acquisitions and Dispositions.
  • Assist with file and property audits.
  • Training on site, virtually and in classroom settings.
  • A requirement for the position will be to serve on the GB Employee Events committee.
  • The position will also be responsible for scheduling of “secret shops” for employees and the review of the “secret shop” performance. In addition, the position will assist with new acquisitions, or the disposition of any properties, Due Diligences and Property File audits.
  • The person in this role may be asked to help with properties who may be short staffed or underperforming.
  • Identifying areas at properties that need improvement and ensuring that support and training are provided to the property will also be a requirement of this role.

Specific Duties:

  • Conduct training needs assessment by collecting information pertaining to work procedures, workflow and reports, understanding job-specific duties, tasks, and functions.

  • Review and revise any surveys to assist in evaluation of training.

  • Learn and understand functions of the Multifamily Department training and the property take over and close-out checklists.
  • New Acquisitions (Due Diligence, Office Training/Organization)
  • Assist with Property Dispositions
  • Set up budget meetings/update budget process booklets annually.
  • Advise MF Executive Management Assistant when help is needed to edit and update operation manuals.
  • Advise MF Management Assistants when help is needed to find a training venue and to order food for training.
  • Help teams with large projects as needed and directed by Senior Vice President of Property Services Group

Qualifications:

  • College Degree preferred
  • Past training or teaching experience helpful.
  • Five years’ experience with increasing progressive responsibilities in Leasing, Assistant Manager, and Property Manager.
  • Professional appearance and demeanor; see employee manual for dress code.
  • Intimate knowledge of on-site property management and everyday procedures.
  • Positive attitude, self-starter with ability to accomplish tasks with little direct supervision.
  • Excellent organizational skills and ability to prioritize.
  • Strong skill set in logical thinking, reasoning, math, etc.
  • Keyboard – preferred 55 wpm.
  • Excellent grammar and writing skills, punctuation, and spelling.
  • Entrata experience.
  • Strong public speaking skills
  • Ability to deal professionally with owners, employees, and vendors.
  • Strong software knowledge: Word and Excel (Intermediate level) and Outlook skills required.

Location Requirements:   Employee will typically work in an office setting and working on site or holding Training classes in Metro Denver and/or Colorado Springs. Travel between Denver and Colorado Springs will be required. Occasional travel to the Western Slope and Kansas will be required.
